Q: How do I register for the Conference?

Q: How can I pay the registration fees?
A: Payment of registration fees can be made by credit card or bank transfer. For full details please click HERE.

Q: What does my registration fee include?
A: The registration entitlements for your applicable registration are the following:
●   Admittance to all sessions
●   Admittance to Welcome Reception
●   Admittance to exhibition
●   Conference material and documentation
●   Certificate of Attendance (electronic)
●   Coffee – refreshments & Lunch during official Conference’s breaks

Q: Can I register before the early fee deadline and pay later?
A: In order to benefit from the early fee registration discount, payment must be received before the deadline (i.e. before 31st March 2024).

Q: Can I register onsite?
A: Onsite registration is available during the Conference days. Onsite fees will apply.

Q: Will I receive a confirmation letter after I have finished registering?
A: A detailed booking confirmation letter will be sent to you by email as soon as your registration is completed.

Q: Can I receive an invoice/ receipt under the University/ Institute/ Company's name?
A: During the registration process, you are required to insert Billing Details, this information will appear on the invoice/ receipt you will receive by email within one month after your payment is complete.
In case of any change of the information requested after the issuance of the invoice/ receipt, there will be a handling fee of €20 for the re-issuance of the invoice/ receipt.

Q: Can I cancel my registration or make any alterations?
A: Any cancellation or alteration of your registration must be sent in writing by e-mail to info@ipcrg2024.org, and will be subject to the following conditions 

  • Until December 31st, 2023: full amount paid will be refunded less 20% administrative fee
  • Between January 1st and March 10th, 2024: 50% of the registration fee will be refunded
  • After March 10th, 2024: No refund applies 
    All refunds will be processed within two (2) weeks after the end of the Conference. Bank charges will be deducted.
Alterations / Name changes
  • Until March 10th, 2024: name changes can be made with no additional charge
  • Between March 10th and April 30th, 2024: name changes will be charged with € 20 administrative fee.
  • After May 1st, 2024: no name changes will be accepted. 
    No-shows will be charged with the full fee.

Q: Can I submit an abstract and present it virtually – is this possible?
A: Physical presence of presenters is required. Unfortunately, there is no option for online presentation.

Q: Can I amend my abstract with new data?'

A: Minor modifications to reflect new data are allowed for your abstract. Alternatively, you can update your presentation only with your new data.

Q: I have submitted an abstract – when can I expect my notification whether it has been accepted or not?
A: Notification of acceptance or rejection of the abstract will be sent to the corresponding author of each abstract by 5 February 2024 and for late breaking abstracts 28 March 2024.

Q: When will the Conference programme be announced?
A: You can find the Conference scientific programme HERE.

Q: I am keen on receiving the abstract book of the Conference. Where can I find it?
A: All accepted abstracts will be published as IPCRG resources on IPCRG website after the end of the Conference.

Q: How can I find out information about hotels close to the Conference Venue?

Q: How can I book a room? Will I receive a hotel booking confirmation?
A: You can book a room during your registration process. To book a hotel please click HERE.
A detailed booking confirmation letter will be sent to you by email as soon as your registration/ booking is completed.

Q: Can I book rooms for a group?
A: For group bookings please contact the Conference Organising Secretariat at info@ipcrg2024.org

Q: Can I cancel my hotel booking?
A: Written notification, sent to info@ipcrg2024.org is required for any cancellation or change to your Accommodation. Refunds will be made as follows (according to the date on the notice of cancellation):

  • Up to and including March 10th 2024: full refund less € 100 administration fee
  • From March 11th 2024 and onwards: No refund will be granted

All refunds will be processed within two (2) weeks after the end of the Conference. Bank charges will be deducted.

Q: How do I apply for a visa?
A: Greece follows the Schengen Agreement provision and the subsequent acquis (binding agreement) concerning short term visa issues stays of up to three (3) months in the Schengen area. The citizens of these countries are not subject to border controls within the common area (airlines or other carriers require identification – I.D. card or passport or any other piece of identification issued by a public authority). Citizens of the EU countries do not need a visa to enter Greece (and the Schengen area).

Q: I need a visa invitation letter in order to facilitate my visa application process, how can I get one?

Q: Can the Conference Organising Secretariat send an official visa invitation letter directly to my Local Consulate/ Authority?
A: Unfortunately, the Conference Organising Secretariat is unable to send visa invitation letters directly to Consulates/ Authorities. Visa invitation letters are prepared solely for delegates and are forwarded to them by email.

Q: Where is the Conference taking place?
A: The 12th IPCRG World Conference will take place at the Megaron Athens International Conference Centre (ΜΑΙCC), in Athens, Greece.
