Q: How do I register for the Conference?

Q: How can I pay the registration fees?
A: Payment of registration fees can be made by credit card or bank transfer. For full details please click HERE.

Q: What does my registration fee include?
A: The registration entitlements for your applicable registration are the following:
●   Admission to the Meeting Sessions and the Exhibition
●   Delegate material (meeting bag, Program booklet, pen, notepad)
●   Certificate of Attendance
●   Coffee and Lunch breaks, as announced in the Program
●   Ice Breaker Reception

Q: Can I register before the early fee deadline and pay later?
A: To benefit from the early fee registration discount, payment must be received before the deadline (i.e. before 31st May 2024).

Q: Can I register onsite?
A: Onsite registration is available during the Conference days. Onsite fees will apply.

Q: Will I receive a confirmation letter after I have finished registering?
A: A detailed booking confirmation letter will be sent to you by email as soon as your registration is completed.

Q: Can I receive an invoice/ receipt under the University/ Institute/ Company's name?
A: During the registration process, you are required to insert Billing Details, this information will appear on the invoice/ receipt you will receive by email within one month after your payment is complete.
In case of any change of the information requested after the issuance of the invoice/ receipt, there will be a handling fee of €20 for the re-issuance of the invoice/ receipt.

Q: Can I cancel my registration or make any alterations?
A: Any cancellation of participation must be notified in writing by e-mail to the Organizing Secretariat at info@escgreece2024.eu, and will be subject to the following conditions:
  • Registration fees are not transferable.
  • Registrations cancelled up to June 20th, 2024: a 75% refund will take place.
  • Registrations cancelled after June 21st and up to July 31st, 2024: a 50% refund will take place.
  • Registrations cancelled after August 1st, 2024: no refunds will be made 
Alterations / Name changes
  • Until July 31st, 2024: name changes can be made with no additional charge
  • Between July 31st and September 1st, 2024: name changes will be charged with € 20 administrative fee.
  • After September 2nd, 2024: no name changes will be accepted.
    No-shows will be charged with the full fee.

 

Q: Can I submit an abstract and present it virtually – is this possible?
A: The physical presence of presenters is required. Unfortunately, there is no option for an online presentation.

Q: I have submitted an abstract – when can I expect my notification whether it has been accepted or not?
A: Notification of acceptance or rejection of the abstract will be sent to the corresponding author of each abstract by May 15th, 2024.

Q: How can I find out information about hotels close to the Conference Venue?

Q: How can I book a room? Will I receive a hotel booking confirmation?
A: You can book a room during your registration process. To book a hotel please click HERE.
A detailed booking confirmation letter will be sent to you by email as soon as your registration/ booking is completed.

Q: Can I book rooms for a group?
A: For group bookings please contact the Organizing Secretariat at info@escgreece2024.eu

Q: Can I cancel my hotel booking?
A: Written notification, sent to info@escgreece2024.eu is required for any cancellation or change to your Accommodation. Refunds will be made as follows (according to the postmark on the notice of cancellation):

  • Up to and including July 15th, 2024: full refund less € 100 administration fee
  • From July 16th, 2024, and onwards: No refund will be granted.
All refunds will be processed within two (2) months after the end of the Assembly. Bank charges will be deducted.

Q: How do I apply for a visa?
A: Greece follows the Schengen Agreement provision and the subsequent acquis concerning short-term visa issues stays of up to three (3) months in the Schengen area. The citizens of these countries are not subject to border controls within the common area (airlines or other carriers require identification – an I.D. card passport or any other piece of identification issued by a public authority). Citizens of the EU countries do not need a visa to enter Greece (and the Schengen area).

Q: I need a visa invitation letter to facilitate my visa application process, how can I get one?

Q: Can the Conference Organizing Secretariat send an official visa invitation letter directly to my Local Consulate/ Authority?
A: Unfortunately, the Conference Organizing Secretariat is unable to send visa invitation letters directly to Consulates/ Authorities. Visa invitation letters are prepared solely for delegates and are forwarded to them by email.

Q: Where is the Conference taking place?
A: The 39th General Assembly (GA) of the European Seismological Commission will take place at the 5-star Hotel Corfu Holiday Palace, in Corfu, Greece.
