Q: What does my registration fee include?
A: The registration entitlements for your applicable registration are the following:
Participants, Students & Industry
● Admittance to Opening Ceremony & Welcome Reception
● Admittance to all sessions
● Admittance to exhibition
● Congress documentation and abstract book (electronic)
● Certificate of Attendance (electronic)
● Coffee – refreshments during official Congress’ breaks

Q: What are the requirements to register as a Student Delegate?
A: Student Delegates are considered undergraduates, graduates or PhD students.
For final confirmation of your Student registration, a proof of status (an official letter written in English by the Head of the University on official University letterhead) should be submitted to the Congress Organizing Secretariat via email at firstname.lastname@example.org. The Congress Organizing Secretariat reserves the right to allocate your registration to the appropriate category in case we do not receive the proper documentation.
Postdocs are considered as Regular Delegates.
Q: Can I register before the early fee deadline and pay later?
A: In order to benefit from the early fee registration discount, payment must be received before the deadline (i.e. before 30th June 2023).
Q: Can I register onsite?
A: Onsite registration is available during the Congress days. Onsite fees will apply.
Q: Will I receive a confirmation letter after I have finished registering?
A: A detailed booking confirmation letter will be sent to you by email as soon as your registration is completed.
Q: Can I receive an invoice/ receipt under the University/ Institute/ Company's name?
A: A: During the registration process, you are required to insert Billing Details, this information will appear on the invoice/ receipt you will receive by email within one month after your payment is complete.
In case of any change of the information requested after the issuance of the invoice/ receipt, there will be a handling fee of €20 for the re-issuance of the invoice/ receipt.
Q: Can I cancel my registration or make any alterations?
Any cancellation or alteration of your registration must be sent in writing by e-mail to email@example.com, and will be subject to the following conditions:
- Until April 30, 2023: full amount paid will be refunded less 20% administrative fee
- Between May 1 and July 15, 2023: 50% of the registration fee will be refunded
- After July 16, 2023: No refund applies
- Until July 15, 2023: name changes can be made with no additional charge
- Between July 16 and September 1, 2023: name changes will be charged with € 20 administrative fee.
- After September 2, 2023: no name changes will be accepted.
- Non-shows will be charged with the full fee.
Q: Can I submit an abstract and present it virtually – is this possible?
A: Physical presence of presenters is required. Unfortunately, there is no option for online presentation.
Q: I have submitted an abstract –
when can I expect my notification whether it has been accepted or not?
A: The notification of acceptance for oral or poster presentations has been sent.

Q: I am keen on receiving the abstract book of the Congress. Where can I find it?
A: All registered delegates will be notified regarding the Abstract Book in due time.

Q: Can I cancel my hotel booking?
A: Written notification, sent to ERASMUS S.A is required for any cancellation or change to your Accommodation. Refunds will be made as follows (according to the postmark on the notice of cancellation):
- Up to and including July 15th 2023: full refund less € 100 administration fee
- From July 16th 2023 and onwards: No refund will be granted.
- All refunds will be made within two months after the end of the Congress minus the Bank charges.

Q: How do I apply for a visa?
A: Greece follows the Schengen Agreement provision and the subsequent acquis concerning short term visa issues stays of up to three (3) months in the Schengen area. The citizens of these countries are not subject to border controls within the common area (airlines or other carriers require identification – I.D. card or passport or any other piece of identification issued by a public authority). Citizens of the EU countries do not need a visa to enter Greece (and the Schengen area).

Q: Can the Congress Organizing Secretariat send an official visa invitation letter directly to my Local Consulate/ Authority?
A: Unfortunately, the Congress Organizing Secretariat is unable to send visa invitation letters directly to Consulates/ Authorities. Visa invitation letters are prepared solely for delegates and are forwarded to them by email.
Q: Where is the Congress taking
A: The 2023 IFFS World Congress will take place at the Megaron Athens International Conference Centre (ΜΑΙCC), and the Pre Congress Courses of the 2023 IFFS World Congress will be held at Divani Caravel Hotel in Athens, Greece.
