Please note that in order to secure the conference facilities where the Meeting is hosted, the Organizers are required to contract a certain number of guest rooms at the venue hotel, the cost of which is an integral part of the Meeting budget. Participants are highly encouraged to book their accommodation through the Organizer, who offers lower or equal rates to those they would find through other channels, thus contributing to the organizational and financial success of the Meeting.

    to login for the on-line registration and bookings system
    NOTICE: Once you log in and register, entering your personal data requested by the system, you may revisit the on line services for your abstract(s) submission or any additional reservations, using only your password and your username.
    Please fill in the appropriate section of the bookings system in block capitals, ticking the appropriate boxes. Full payment by credit card is required, in order to finalize your reservation. Participants are requested to indicate their preference of hotel category, room type and arrival and departure dates. At the time of ticking your preferred hotel, availability will appear and your reservation can be confirmed without any delay. Name allocation for each room booked is required.
    Special requests regarding room reservations can be noted in the “remarks” field. As soon as your credit card is charged, the system will provide you with a confirmation, including your reservation details, which can be easily printed. Respective voucher(s) will be sent via e-mail a few days prior to the Congress.

    In case you do not wish to book your accommodation on-line,
    to download the Registration and Accommodation Booking Form, fill it in and send it back to us by fax (0030 210 7257532) or e-mail (info@wpaepi2016.org) along with a copy of the bank transfer receipt.

    Please fill in the appropriate section of the Bookings Form in block capitals, ticking the appropriate boxes. Hotel reservations cannot be confirmed until the Booking Form has been duly received, along with a 50% advance deposit, specification of hotel category, type of room preferred, and the dates of your stay. Delegates are requested to indicate their preference of hotel category in numerical order. If the preferred hotel category is not available, delegates will be given the next available choice. The deposit should correspond to the price of the hotel category of the delegate’s first choice. The Booking Form should be sent along with the deposit to ERASMUS CONFERENCES TOURS & TRAVEL S.A. as soon as possible. A note of confirmation will be sent to the delegate, stating the amount left to be paid (balance), as well as thename and address of the hotel of their stay. Full payment should be made before February 28, 2016 after which the delegate will receive the respective voucher(s).

All payments are to be made in Euros. Please note that all bank charges need to be settled by the payees. Confirmation letters and payment
invoices will be sent upon receipt of the appropriate fees. Outstanding payments must be made on-site.

IMPORTANT NOTE: A copy of the bank transfer receipt is to be sent to the Meeting Secretariat by fax at 0030 210 7257532 or by e-mail at  info@wpaepi2016.org  along with the respective Registration & Accommodation Form, for confirmation of the relevant bank transfer.
Cancellation policy
Written notification is required for any cancellation or change to your accommodation bookings. A copy of the Registration and Accommodation Booking Form is to be attached to the letter of notification Refunds will be made as follows (according to the date of cancellation notice):
Up to and including December 20, 2015: Full refund less 25% administration fees
From December 21, 2015 and onwards: No refund will be granted.
